Strategy and readiness

The right AI decision starts with how your business actually runs.

We study your business before we recommend the technology.

A 4 to 8 week first look at where AI belongs, and where it does not.

Strategy and Readiness

A fixed-scope first engagement. We look at how your business actually runs, then advise you on what to build, what to buy, and what to leave alone.

Length: 4 to 8 weeks · Fee: fixed, quoted in writing · We do not resell software

The approach

The business comes first. The AI decision comes after that.

R² Elevate works with mid-size companies and with the people who advise or oversee them. The first step is a strategy and readiness assessment over 4 to 8 weeks.

We sit with the people who do the work and study how your business runs. We then advise you on which opportunities to pursue and whether to build, buy, or leave a process as it is. Depending on what we find, the next step could be a referral to a partner, a small build, or a specification for your IT team.

  • A public AI tool may be enough for a draft that contains no sensitive information, if your organization allows its use. Work involving client files, money, health records, or student records needs a closer review of the tool and the rules that apply. Often, a private in-house AI solution can offer better security and cost/performance compared to commercial cloud AI, depending on the task.
  • We do not bolt AI onto a broken process. We look for where repeat tasks take your attention away from decisions that need human judgment, and where errors or inconsistent results create extra work. We assess whether AI or a simpler process change could help, using your figures to judge the likely benefit and outcomes.
  • You keep the written report from the assessment to use as a road map for your business.

What you get

A clear picture you can act on

You leave with findings, a ranked list, and an honest recommendation, including where AI does not fit.

Current state

How your business operates today, including where delays, errors, inconsistent results, and repetitive tasks negatively affect your team.

Opportunities sized

We assess where changes could augment your existing team, improve quality and consistency, reduce repetitive tasks, and help your people focus on decisions that need their judgment. We estimate the likely benefits and outcomes using your figures.

Build, buy, or avoid

A vendor-neutral view for each top opportunity, including when to use cloud vs in-house AI, when to leverage software you already have, and when to do nothing.

Readiness

An honest look at your data, systems, people, and processes.

6 to 12 month roadmap

What to do, in what order, who owns each step, and how you will know it worked.

Readout and report

A working session with your leadership and a written report you keep.

How it works

Four steps over four to eight weeks.

The length depends on how many workflows are in scope and how fast interviews can be booked.

  1. 01

    Kickoff

We agree on the scope, who we talk to, and how to tell whether a change improved results.

  2. 02

    Assess

We hold work walkthroughs with leaders and staff. They show us how they do the job, using real examples and the systems they rely on. It is a series of empathetic conversations about what gets in their way, what helps, and where their experience and judgment matters most.

  3. 03

    Analyze

We size each opportunity using your figures and test it against your data, rules, and budget.

  4. 04

    Readout

You get findings, a ranked list, and an honest recommendation, including where AI does not fit.

That engagement is a fixed fee, quoted in writing after a working session to agree on the scope.

Who it’s for

Private businesses, and public offices that need a careful start

If you lead a business or public office, or advise those who do, you may be asked where AI could help. A useful answer starts with understanding how your organization runs, including the steps people handle outside the main systems or carry in their heads.

Private companies

We work with privately owned and private-equity-backed mid-size companies. The leaders we meet are curious about AI, do not have a deep AI team of their own, and can name a job their current software handles badly. We also work with the people who advise or oversee them: accountants, IT firms, attorneys, and operating partners.

Government and higher education

Cities, counties, state and federal agencies, school systems, and universities. We start with one office and one job, and work out whether AI fits before anyone builds.

For SLED (state, local, and education) and federal work, we can partner with a company already on a GSA schedule or a state contract. That partner holds the contract as the prime. R² Elevate works as a subcontractor in these cases. We do not hold a public schedule of our own.

Jobs like these are examples only. None describes a past client.

Turn a customer request into clear shop-floor instructions.

A production manager could use AI to draft instructions from a raw customer request and approved specifications, instead of assembling them by hand. The manager applies their judgment to resolve any missing details and approves the instructions before the team uses them.

Find relevant details in old repair reports.

A service technician could use AI to pull relevant details from past job reports before checking a recurring fault. The technician verifies the records and decides what to test or repair.

Find differences to investigate during the monthly close.

An accountant could use AI to compare transaction records and flag possible mismatches for review. The accountant investigates the differences and approves any adjustments before closing the books.

Check permit submissions for missing documents.

A municipal permit clerk could use AI to flag missing documents and draft follow-up requests instead of compiling each request by hand. The clerk verifies the findings and requests, while authorized staff retain responsibility for permit decisions.

Start with a short conversation

Write us about your business and the decision in front of you. If it looks like a fit, we set a working session to scope the assessment.
